This full-time position is located at the Southern Company Barry Steam Station located in Mobile, Alabama.

Pay Information:  

$61,742 - $74,090 / year

Schedule

Job Summary:

The Administrative Assistant is responsible for managing all field office processes and related operations reporting for the construction site. This position handles both confidential and time-sensitive information using multiple software applications. Areas of responsibility include but are not limited to facilitating personnel records, employee onboarding, training records, safety records, timesheets, employee communications, ordering supplies/materials, auditing invoices, and reporting on project status and work completion. Must be able to read, understand, and accurately interpret company and/or customers policies and rules and use discretion to ensure compliance with contracts and/or applicable laws. This role works very closely with all site personnel, corporate staff, and other third-party members and is expected to demonstrate professionalism in all interactions.

Essential Functions:

  • Log equipment hours.
  • Check, code, and enter timesheets.
  • File daily paperwork and reports.
  • Update emergency phone list.
  • Maintain equipment qualification matrix.
  • Track and properly document employee requests for time off.
  • Input all collected information on the observation report.
  • Input information collected on a ride-along report.
  • Attend and document safety meetings and maintain records on safety action items.
  • Facilitate the random drug testing process for compliance.
  • Order office supplies.
  • Onboarding of new employees
  • Help employees with benefits paperwork and other HR-related topics.
  • Liaison for site employees with the corporate staff  
  • Contact potential new employees and set up interviews and drug tests.
  • Maintain employee onboarding report.
  • Maintain Vendor registration log.
  • Submit terminated employee’s paperwork.
  • Assist Managers and supervisors with special requests as needed.
  • Maintain employee contact list and send out communication texts to employees when information needs to be distributed when not on-site (office closing, etc.)
  • Create training documents and administration procedures.
  • Email paperwork for employees to HR (expense reports, PTO requests, boot reimbursement, etc.)
  • Daily Force report for Southern Company
  • Develop presentations for customer meetings.
  • Coordinate onsite and offsite events.
  • Other duties as assigned.

Job Requirements and Qualifications

Experience:

  • Minimum of 3 to 5 years of experience in a similar role.
  • Experience managing and prioritizing multiple responsibilities and deadlines.
  • HRIS experience (Experience with Vista or Keystyle is a plus).

Education/ Certification:

  • High School diploma or equivalent required.
  • BA in business or related field preferred.

Skills:

  • Must be proficient in Microsoft Office Suite and related software.
  • Exceptional organizational and follow-up skills.
  • Proven ability to be a flexible and dependable team player.
  • Effective in both verbal and written communication.
  • Payroll experience is a plus.

Other Information:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to access all areas of the facility to determine needs.
  • May require some travel.
  • Must be able to work in a construction environment.
  • Must have a valid driver’s license.
  • Be at least 18 years of age.
  • Must be able to successfully pass a MVR, background check, and drug test (including THC).
