Job Summary

The Administrative Assistant is responsible for managing all field office processes and related operations reporting for the construction site. This position handles both confidential and time-sensitive information using multiple software applications. Areas of responsibility include but are not limited to facilitating personnel records, employee onboarding, training records, safety records, timesheets, employee communications, ordering supplies/materials, auditing invoices, and reporting on project status and work completion. This role works very closely with all site personnel, corporate staff, and other third-party members and is expected to demonstrate professionalism in all interactions.

Essential Functions:

  • Produce dredge log and daily report
  • Log equipment hours
  • Check and code timesheets
  • Compile tonnage transaction log
  • File daily paperwork and reports
  • Update emergency phone list
  • Match billing to Heavy Job true-up
  • Maintain equipment qualification matrix
  • Maintain expiring Powersafe / CCS
  • Track and properly document employee requests for time off
  • Input all collected information on the observation report
  • Input information collected on a ride-along report
  • Attend and document safety meetings and maintain records on safety action items
  • Monthly/Yearly JTD tonnage log.
  • Facilitate the random drug testing process for compliance
  • Create monthly observation summary report & table
  • Create a monthly ride along report
  • Update Sutton P6 Production Graph
  • Order office supplies
  • Shop for office necessities as needed (coffee, toilet paper, paper towels, soap, etc.)
  • Onboarding of new employees
  • Administer Powersafe for new employees & annual recertification
  • Program radios and maintain radio logs
  • Help employees with benefits paperwork and other HR-related topics
  • Liaison for site employees with the corporate staff  
  • Contact potential new employees set up interviews and drug tests
  • Maintain employee onboarding report
  • Back up for daily employee onsite report for Duke
  • Maintain Vendor registration log
  • Submit terminated employees
  • Create monthly observation summary report & table
  • Assist Managers & Supervisors with special requests as needed
  • Maintain employee contact list and send out communication texts to employees when information needs to be distributed when not on-site (office closing, etc.)
  • Create training documents and administration procedures
  • Email paperwork for employees to HR (expense reports, PTO requests, boot reimbursement, etc.)

Job Requirements and Qualifications


  • Minimum high school diploma.
  • College degree or specialized training in a relevant field preferred (or equivalent combination of education and/or work experience). 

Training Requirements:

  • Trans Ash will provide necessary safety training for the job. 

Skill Requirements:

  • Must be proficient in Microsoft Office Suite and related software.

Knowledge Requirements:

  • HRIS experience (Experience with Vista or Keystyle is a plus).
  • Exceptional organizational and follow-up skills.
  • Proven ability to be a flexible and dependable team player.
  • Effective in both verbal and written communication.
  • Payroll experience is a plus.


  • A minimum of 3 years of Administrative or HR experience. 
  • Candidates with a PHR or CP certification are highly desirable. 
  • Minimum of three to five years of experience in a similar role.
  • Experience managing and prioritizing multiple responsibilities and deadlines.
  • Computer experience required.

Other Information

Physical Requirements:

    • Prolonged periods of sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.
    • Must be able to access all areas of the facility to determine needs.
    • May require travel.
